At Lolart, the Administrative Assistant works together with the school registration and administration, in collaboration with teachers, parents, and students to provide administrative well as student support.
The duties of the Administrative Assistant include but are not limited to the following:
Report to the school vice principal regarding student registration and record management on a regular basis.
Initiate business development activities to promote and engage students and agents across Canada and overseas.
Reply to and monitor the prospective student and agent inquiries via various channels and follow-up with the prospective students to increase the registration number.
Regularly review and evaluate the canceled list to see if the canceled students can be re-engaged and re-enrolled.
Manage the creation and preparation of documents/folders for first-day arrivals and orientation.
Collaborate with other departments to ensure the best customer experience for all participants.
Maintain student insurance, visa, and passport information and monitor the validity.
Organize and maintain student files and records in both digital and physical formats following established standards and regulations.
Conduct analysis and oversee student section’s operation including budgeting, contracting, project planning and other managerial processes.
Schedule appointments for students or parents meeting with teachers or other staff.
Communicate with students and/or parents in a timely manner regarding student progress.
Arrange field trips and extracurricular activities for students as required by the program.
Perform other duties as reasonably assigned.

Hours of Work: Monday to Friday, 9:00 AM to 5:00 PM.
Salary and Compensation:
$25 per hour.

Required Education, Skills and Qualifications
Required Experience and Skills:
At least one year of experience in administration, ideally in an educational setting.
University Degree in a highly analytical field is required.
Proficiency in student registration and management, and records management is required.
Proficiency in Microsoft Office.
Excellent analytical, organizational and problem-solving skills, attention to detail.
Works well under pressure and tight deadlines, ability to managing conflicting priorities and demands.
Works well independently or within a team.
Studied in a discipline related to a high school subject is preferred.
Excellent Communication Skills, Fluency in Chinese is an asset.
