Receptionist/Assistant Position

Liberty Clinic is a busy naturopathic, medical and complimentary clinic located at the heart of Downtown Toronto at Yonge and Bloor. We are looking for an exceptional receptionist/assistant to join our team.

Receptionist/Assistant Job Duties typically include:
• Acting as a first point of contact: dealing with correspondence and phone calls
• Welcomes patients and visitors by greeting, welcoming, and directing them appropriately; notifies clinic personnel of patient or visitor arrival
• Maintains security by monitoring traffic in and out of clinic
• Manages patient and appointment schedule
• Maintains telecommunication system and troubleshoots if needed
• Maintains computer system and troubleshoots as needed
• Manages point-of-sale and patient check-outs
• Manages product inventory
• Bookkeeping
• Payroll preparation
• Maintains safe and clean reception area by complying with procedures, rules, and regulations
• Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs
• Contributes to team effort by accomplishing related results as needed.
• Controls access to Chief Medical Officer (CMO)
• Booking and arranging travel, transport and accommodation
• Organizing events and conferences
• Reminding the CMO of important tasks and deadlines
• Typing, compiling and preparing reports, presentations and correspondence
• Managing databases and filing systems
• Implementing and maintaining procedures/administrative systems
• Liaising with staff, suppliers and clients
• Collating and filing expenses
• miscellaneous tasks to support the CMO

Receptionist Skills and Qualifications:
• Discretion and trustworthiness: you will often be party of confidential information
• Flexibility and adaptability
• EXCELLENT oral and written communication skills (you MUST be fluent in English)
• Organizational skills and the ability to multitask
• The ability to be proactive and take the initiative
• Tact and diplomacy
• Communication skills
• A knowledge of standard software packages and the ability to learn company-specific software if required
• Telephone Skills
• Listening
• Professionalism
• Sales experience

Additionally:
• Previous medical reception experience is not a requirement
• You should have an understanding of naturopathic medicine and other complimentary/alternative medicines. If you dislike these medicines, DO NOT APPLY.
• Knowledge of nutrition or natural supplements is a bonus, but not required.

Part-time 2-3 days per week, 9am-7:30/8pm
